Our Privacy Notice

Purpose

We take your privacy seriously, so this notice explains how we use your personal information.

The type of personal information we collect

If you are a client of LEAH, we will collect information including your name, address, date of birth, address, telephone numbers, email address, your gender, ethnicity, religion, and country of origin. Depending upon your circumstances, we may also collect details of your employment, immigration status, date of arrival in the UK, languages spoken, marital status, health and related conditions concerning you and your family (including any ancillary support services/agencies being used).

If you are a referral organisation or school, we will collect information including your name, organisation, job title, phone number, email address, details of other organisations that may be involved with the client.

If you are a supporter of our work and want to be updated about our vital work, we will collect information including your name, phone number and email address. If you have donated to us, we may also collect your bank details and your income tax status for Gift Aid purposes.

Why and when we collect your personal information

Client information is collected from the organisation that referred you to us. This is used to:

·         Stay in touch and respond to enquiries.

·         Assess your needs and provide the most suitable support to you.

We may also use your details to:

·         Speak to the organisation that referred you about your needs

·         Identify suitable opportunities for you.

·         Record the support you have received from LEAH and the suggested next steps.

·         Record the outcomes you have achieved.

·         If applicable, provide updates to the organisation that referred you.

·         Invite you to an activity or event.

We may also use this information, with your explicit consent, to promote our work and for fundraising campaigns.

Referrer and school information is collected and is used to:

·         Understand more about the client that has been referred to us.

·         If applicable, provide updates about the referral and clients’ progress.

·         Invite you to an activity or event.

We may also use this information, with your explicit consent, to promote our work and for fundraising campaigns.

Supporter information is provided either directly by yourself (e.g. via our website or social media) or indirectly when you use a third party like Localgiving or JustGiving when donating.

Depending upon your wishes, we use this information to:

·         Send you email updates about our work.

·         Carry out supporter surveys.

·         Fundraise. This includes processing any donations you make and claiming gift aid where eligible.

 The lawful basis for processing your personal information

We require your consent to process your personal information for the delivery of support to clients. For supporters, consent is also required to:

·         Add your name to our e-mailing list to receive updates and fundraising material.

·         Take your photograph or record a video of you for future use in any informational, social media or promotional materials.

In all cases, your consent can be withdrawn at any time by contacting us (see below for details).

We rely upon our legitimate interest to use your personal data communicate with you, respond to your enquiries, engage with you via social media, and undertake the necessary administration of our services to you.

Storing your information

Your personal data is stored securely on our Lamplight system. This is protected by a range of data security measures and your data is subject to regular back-up.

Personal data is kept for no longer than necessary and in accordance with our data protection policy. Information about data retention can be provided upon request. The data you provide to enable our support service to you is kept for a maximum of five years after the end of the period support is provided.

With whom do we share your information?

If you are a client, with your consent, your personal data may be shared with your referrer, and we will inform the referrer when your support comes to an end.

LEAH also works with various external companies, who may collect, store or process personal information on our behalf. When we do this, we:

·         Carry out checks on each company before we decide to work with them, to ensure that they have adequate safeguards in place to keep your data safe.

·         Do not give them any rights to use your personal information except in accordance with our instructions.

·         Require them to give us contractual assurances that they will comply with all data protection laws.

·         Make sure that your data is transferred to them securely.

Here are some examples of the companies that we may share your data with or that may have access to your data for the purposes of providing services to LEAH:

·         Our website & database providers:  Squarespace and Lamplight

·         Our fundraising partners:  Localgiving and JustGiving

·         Our survey and ticketing providers:  SurveyHero and Mailchimp

If you have made a Gift Aid declaration, we will need to disclose the information you have provided as part of our declaration to HMRC for the purpose of reclaiming Gift Aid.

We may disclose your personal data without your consent where necessary to safeguard children or adults at risk of harm, to prevent or detect a crime, for specific legal reasons, or to protect life.

Your rights

Under data protection law, you have a right to access your information, to be forgotten, to have errors rectified, to restrict processing, to object to processing and to data portability. Information and advice on enforcing these rights is available from the Information Commissioner’s Office Helpline: 0303 123 1113.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Any complaint or enquiry should be directed to us using the contact details below.
